  • We are looking for "PROJECT ASSISTANT (Offshore Wind Projects) M/F" for one of our clients, to be based in Paris (France).


    "PROJECT ASSISTANT (Offshore Wind Projects) M/F". What will your responsibilities and missions be?


    The Project Assistant will support the Germany Offshore Wind Projects (NordSee Energies 1, NordSee Energies 2, and OstSee Energies) team in achieving critical project milestones in line with project requirements. The Project Assistant will be responsible for general administrative, secretarial, and logistical support for the Execution Team - Offshore Wind Germany (OneTech branch), based in Paris.


    Role Overview:

    The Service Provider will be responsible for delivering comprehensive administrative, secretarial, and logistical support to the OneTech GPI-Germany team, based in Paris, in support of the development of the offshore wind projects NordSee Energies 1 (NSE1), NordSee Energies 2 (NSE2), and OstSee Energies (OSE). In addition, the Service Provider is expected to uphold and exemplify the highest standards of behavior with regard to HSSE (Health, Safety, Security, and Environment) rules and requirements.

    Key Responsibilities:

    • Manage and coordinate the Project Management Team's agenda, as required
    • Handle office supply management and procurement
    • Organize or support the planning of internal and external meetings, including logistics for meetings with partners, contractors, and special events
    • Welcome and guide visitors
    • Facilitate the onboarding and offboarding processes for team members (e.g., office allocation, IT, and telecommunications setup)
    • Maintain project-related directories such as contact lists, absence/presence schedules, and mission calendars
    • Coordinate travel arrangements for the Paris-based Project Team: organize missions, book travel and accommodation, and process travel expense claims using Treck+
    • Assist OneTech staff with timesheet entries (MyCats) and other internal data submissions
    • Keep the Project Management Team informed on office-related matters
    • Support procurement tasks, including materials requests (via My eProc) and Purchase Order creation for external services
    • Liaise with other assistants to ensure consistency and efficiency across administrative operations
    • Draft, format, and manage outgoing correspondence and documents in coordination with the Project Document Controller
    • Receive, register, and dispatch incoming communications and documentation
    • Serve as the team's liaison with building management for office-related matters at Tour Coupole, including reporting and issue follow-up
    • Escalate any concerns or issues to the Project Director or Project Control Manager
    • Consistently demonstrate exemplary behavior regarding HSSE standards and comply with all related policies and procedures




    What Profile and Skills are Required for this "PROJECT ASSISTANT (Offshore Wind Projects) M/F" Position?


    Required Qualifications and Competencies:

    • Diploma in Secretarial Studies, Administrative Assistance, or equivalent qualification
    • Proven experience and advanced proficiency in project administration and secretarial functions
    • Familiarity with internal rules, procedures, and tools is a strong advantage
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
    • Strong organizational skills with the ability to support project management activities
    • Excellent interpersonal skills and the ability to collaborate effectively with a wide range of stakeholders
    • Effective verbal and written communication skills; fluency in English is required
    • Knowledge of Health, Safety, and Environmental (HSE) practices applicable to office environments
    • Self-motivated, capable of taking initiative, and able to work independently with minimal supervision while ensuring timely completion of tasks
